Those who plan too late will struggle with avoidable problems at the trade fair. Those who start early will have a clear mind at the trade fair for what truly matters: conversations, contacts, and new business opportunities.

This checklist is based on more than ten years of experience in exhibition stand construction and was developed by ayble together with clients from various industries.

6 Months Before the Trade Fair: Strategy and Selection

Define Goals What do you want to achieve with your trade fair participation? Generate new leads? Meet existing customers? Introduce a new product? Increase brand visibility? Without a clear goal, there is no clear outcome – and no basis for measuring success.

Select the Right Trade Fair Not every trade fair suits every company. Check: Is your target audience represented there? What is the number and quality of visitors? What is the stand rental cost, and what is the price-performance ratio? Speak with companies that have already exhibited there.

Plan Your Budget Realistically A common mistake: The budget is reduced to the stand rental fee. The actual costs of trade fair participation consist of stand rental, stand construction or rental, graphics, promotional materials, travel, accommodation, catering, and personnel costs. Plan a buffer of 10–15 percent for unforeseen expenses.

Develop a Stand Concept How large should the stand be? What message should it convey? Should it be inviting and open, or focused and conversation-oriented? The concept determines the stand size, furnishing, and graphic design.

3 Months Before the Trade Fair: Organization and Commissioning

Order or Rent an Exhibition Stand You should book your exhibition stand by now at the latest. Commission Graphics Graphics require time: briefing, concept, design, coordination, printing, production. Plan at least six weeks. Those who start too late will be at the trade fair with unfinished materials – or pay for express production.

Assemble and Brief Your Team Who will be at the trade fair? How many people do you need per day? Brief your team before the trade fair: What can I communicate? How do I approach visitors? What is the most important conversation goal? An unprepared stand team is one of the most common reasons for disappointing trade fair results.

Plan Invitations and Communication Inform existing customers about your trade fair participation and specifically invite interesting contacts. Plan social media posts before, during, and after the trade fair. A trade fair is also a content opportunity.

4 Weeks Before the Trade Fair: Details and Logistics

Clarify Logistics How does the stand get to the trade fair? Who will set it up, when is setup possible, and how much time is allocated? Clarify these questions early with the trade fair organizer and your stand provider. At ayble, we can handle the complete setup and dismantling upon request.

Order Promotional Materials and Supplies Business cards, flyers, giveaways, product samples, price lists – order with sufficient lead time. Delivery times vary, and reorders shortly before the trade fair are expensive.

Prepare a Conversation Guide Do you have a clear answer to “What does your company do?” in 30 seconds? Do you have an answer to the most common objections? A simple guide helps the entire team communicate consistently and convincingly.

Organize Lead Capture How do you capture contacts? Via business card, app, or QR code? Important: Clarify GDPR-compliant consent for further contact already at the trade fair.

At the Trade Fair: What Truly Matters

Be approachable. Nothing signals disinterest more strongly than a stand team sitting behind a laptop. Briefly review contacts every evening and note the context: What was discussed? What is the next step? Take photos – for social media, for internal documentation, and for the next quote request. Observe the competition. Evaluate daily: What is working? What will you change tomorrow?

After the Trade Fair: Follow-up is Crucial

Follow Up on Leads Quickly The first week after the trade fair is crucial. Studies show that the closing probability significantly decreases after two weeks. Write within 48 hours – personally, not with a mass email.

Evaluate Results How many qualified conversations? How many leads? How many deals were closed from them? What worked, what didn’t? This evaluation is more valuable than any trade fair report – and the basis for the next, better trade fair participation.

Secure Graphics and Materials Your graphics belong to you. Save the print data for the next use – this saves time and costs next time.
