ayble trade fair guide
What types of exhibition stands are there?
There are row stands, corner stands, end stands and island stands—this is the classification by position on the exhibition grounds. In addition, there is a distinction by construction type: modular system stand, custom stand or rental stand. A modular system can cover all variants—for most exhibitors, a modular rental stand is the best compromise between cost and impact.
What is the difference between a row stand, a corner stand and a head stand?
The difference lies in the number of open sides: A row stand is only open to the aisle (one side), a corner stand is located at a corner and is open on two sides, an end stand forms the end of a row of stands and is open on three sides. An island stand stands freely and is accessible from all four sides. The more open sides, the higher the stand rental fee – but also the visibility and visitor flow.
What do you have to consider when planning an exhibition stand?
Effective planning follows a specific order: first define goals and target audience, then select budget, stand size and position, subsequently plan design and construction, and organize assembly, transport, and storage. Good planning considers visitor flow, visibility, and brand impact. The Ayble system requires no prior knowledge for assembly. Starting early (ideally 3–6 months in advance) saves costs and stress.
Can you build an exhibition stand yourself?
Yes – with a modular exhibition system like the ones from ayble, self-assembly is easily possible. All elements can be assembled without tools and are reusable multiple times. No prior knowledge is required. A stand of 12–20 sqm can be set up by one person in approximately 30–60 minutes. Only custom stands require professional exhibition builders.
How high can you build at a trade fair?
The maximum construction height varies depending on the exhibition venue and hall. As a rule, 2.5–4 metres are permitted; however, the Technical Guidelines of the respective trade fair are always binding. For double-storey structures or special heights, approval from the organiser is required. At most trade fairs, a visible rear wall must be covered with a neutral finish (often white) from a construction height of 2.5 m.
How long does it take to set up an exhibition stand?
A modular stand can be assembled in just a few hours—a stand of 12–20 m² can even be set up by one person in approximately 30–60 minutes without tools. In contrast, larger, custom exhibition builds can take one to two days to assemble, as they must be constructed by professional exhibition builders.
Can you rent an exhibition stand instead of buying it?
Yes, many exhibition stand construction companies offer rental systems. This is ideal if you only exhibit occasionally (once or twice a year) or want to test new concepts. If you exhibit at three or more trade fairs per year, purchasing often becomes more cost-effective. At ayble, both purchase and rental models are available – and the rent paid is credited proportionally towards a subsequent purchase.
What lighting is suitable for exhibition stands?
LED lighting is energy-saving and flexible. Rail systems, spotlights and integrated illuminated walls that optimally showcase products and brand messages are particularly popular. Professionals combine three lighting layers: ambient lighting for brightness, accent lighting for products, and illuminated surfaces for the brand message. What matters is a consistent light colour across the entire stand.
How much does an exhibition stand space cost at a trade fair?
The stand rental fee is determined by the organizer and is based on the number of square meters. Typical rates for the floor space alone range from €150–300 per sqm. Additional costs such as electricity, cleaning, and fees apply—and the costs for the actual stand construction are separate. You should always calculate the stand space and stand construction separately.
How do I transport an exhibition stand?
Modular systems can be packed compactly and transported in a car, van or by forwarding agent. At ayble, all components are transport-optimized and reusable. The appropriate means of transport depends on the stand size: small stands fit into a station wagon, larger ones into a van, and very large ones are shipped by a freight forwarding company. For rental stands, delivery is often already included.
How can you design an exhibition stand sustainably?
Sustainable stands are made of recyclable materials and can be used multiple times. Ayble’s modular system reduces transport volume and waste – ideal for resource-saving exhibiting. The greatest advantage is reusability: A stand that is used multiple times is significantly more sustainable than a single-use construction. In addition, there is lighter transport and energy-saving LED technology.
What is part of the trade fair preparation?
Preparation includes defining goals, stand design, personnel planning, marketing materials and lead capture. In addition, set-up and dismantling times as well as transport should be planned in advance. Often forgotten but crucial: the follow-up – you should follow up on collected leads promptly and evaluate the performance against your goals.
How do you attract visitors to the exhibition stand?
An appealing design, open booth layout, interactive elements, and clear brand messages are particularly inviting. Social media posts before the trade show also increase visitor numbers. The biggest lever: invite visitors specifically before the trade show and schedule appointments—instead of just hoping for walk-in traffic.
What furniture do you need on an exhibition stand?
Depending on the goal: standing tables, bar stools, showcases, counters, lounge furniture and displays. It is important that the furniture matches the design concept and supports the brand image. Furniture selection aligns with the stand’s objective: quick conversations require high tables, longer consultations a lounge, and product presentations display cases and displays. For complete stands, furniture is often available as an add-on.
How can I reuse my exhibition stand?
Modular systems can be assembled and dismantled as often as required. You can use the modules at new events in a different configuration or size—sustainable and cost-effective. Often, it is sufficient to replace only the graphics while the supporting structure remains. This ensures every appearance feels fresh with the same basic investment.
Is there any funding available for trade fair appearances?
Yes. Young, innovative companies can get up to 60% of the costs for stand rental and construction reimbursed through the federal program “Young Innovators” – a maximum of €7,500 per trade fair. Prerequisite: small company (EU definition), based in Germany, generally younger than 10 years. Additionally, many federal states offer their own programs. Important: Always apply for funding before registration.
What does a trade show appearance cost in total?
A trade show appearance consists of several components: booth space, booth construction, technology, logistics, personnel, and marketing. Booth construction often accounts for only about one-third of the total costs. Those who plan all items from the start, build modularly, and review funding opportunities keep the budget under control. You should always calculate booth space and booth construction separately.
What is a mobile exhibition stand?
A mobile exhibition stand is a lightweight, compact, and portable stand that can be set up in just a few hours without tools or specialized personnel. It fits into a standard vehicle, is reusable, and is ideal for exhibitors who frequently attend various trade fairs. A modular plug-in system like Ayble’s combines all the benefits of mobility with a high-quality, professional presentation. read more →

Is ayble B1 certified?
Our frame system is made of aluminum and is therefore non-flammable. The graphic panels used are all fire protection certified with B1 according to DIN 4102-1. B1 means “flame-retardant” – the fire safety class required for stand construction materials at most trade shows. You can use this certificate for trade show registration.
How much weight can I hang?
Each frame can support approximately 30 kg—sufficient for monitors, shelves, lighting, and most exhibits. For heavier loads, simply distribute the weight across multiple frames. For particularly heavy installations, we are happy to provide individual consultation.
Can I attach a monitor? If so, which one?
You can attach any TV, LED, plasma, or LCD device to our exhibition system that complies with the VESA standard 400 x 400 mm. VESA is the international standard for mounting flat screens—most common monitors meet this standard. Please contact us if you are unsure whether your screen is compatible.
I need storage space, is that possible?
Whether for giveaways, employee wardrobes, as a bag hiding place or pantry – storage space is essential at every trade fair to ensure order and cleanliness. Counter and cabin solutions are ideal for creating visual highlights while providing privacy and storage space.
Is the cabin lockable?
Our door and counter system can be locked on request. However, the lock provides only limited protection against theft, as our graphic panels are attached with magnetic tape and can be removed in an instant. At any event, the following always applies: bring as few valuables as possible and never leave them unattended.
Can I also print on the counter?
Yes. Our exhibition counters can be customized with graphic panels entirely to your specifications – ideal for placing your logo and brand message directly at the point of contact. The counter top can optionally be made of wood.
Does the counter have an extra compartment?
Yes. Inside our exhibition counters, a wooden middle shelf provides sufficient storage space for everything you have with you and wish to keep out of sight – such as bags, giveaways, or materials.
How strong is the counter? Can I put a coffee machine or other heavy items down?
Our counters are very robustly constructed and are highly durable – supporting distributed loads of up to 30 kg. For an exceptionally strong presence, we have developed an extra heavy-duty counter top with a load capacity of up to 120 kg. This makes our counters significantly more robust than most other mobile exhibition counters – even a coffee machine poses no issue.
Can I also use the exhibition stand outdoors?
Our graphic panels and anodized aluminum frames provide a stable and professional solution even outside of exhibition halls. However, an indoor stand—much like your customers—should not be permanently exposed to wind and rain. For such cases, we offer a dedicated outdoor line that is wind and water-resistant—ideal for festivals, promotional activities, and open-air events.
Do you also set up exhibition stands?
Yes. Upon request, our team can handle your setup and dismantling, the associated trade fair planning, or even transport. You can assemble your modular stand yourself – tool-free and without prior knowledge – or book the complete service. Whatever is easiest for you.
Do you also store?
Yes. Our logistics team ensures that your system is well-packed, safely stored, and in perfect condition for future use. This way, you don’t need to maintain your own storage space, and your stand remains ready for many trade fairs to come.
What is a modular exhibition stand?
A modular exhibition stand is a stand made from standardized, reusable components—typically an aluminum frame system with interchangeable graphic panels. It can be assembled without tools, flexibly adapted to different stand sizes, and used repeatedly. Unlike custom-built stands, it is more cost-effective, faster to set up, and more sustainable—making it the most economical choice for most exhibitors.
What is a modular exhibition stand suitable for?
A modular exhibition stand is suitable for virtually all exhibitors – from their first trade show appearance to corporations with multiple shows per year. It is lightweight, can be assembled without tools, and is flexibly adaptable to any stand size. It is particularly beneficial if you exhibit regularly, wish to remain flexible, or want to keep costs and effort to a minimum. Small stands can often be set up by one person in minutes.
Do you also offer an exhibition wall?
Yes. An exhibition wall is a large-format, printed wall element that serves as a back wall or backdrop and displays your logo and brand message. Our modular exhibition wall features a sturdy aluminum frame with interchangeable graphic panels—tool-free to assemble, reusable, and expandable into a complete stand. This makes it the high-quality alternative to lightweight pop-up displays.
How large should an exhibition stand be?
The ideal stand size depends on your goals, budget, and the number of consultation areas required. As a rule of thumb: 4–6 sqm per simultaneous consultation, plus space for storage, counters, and presentations. For beginners, 6–12 sqm is often sufficient; a solid presence typically requires 12–20 sqm, while larger brands utilize 20 sqm or more. With a modular stand, you can adjust the size at any time.
How do you design an effective exhibition stand?
A good exhibition stand follows three principles: an open, inviting design; a clear brand message that can be grasped in seconds; and a well-thought-out layout that draws visitors in. Also important are good lighting, the right furniture, and avoiding clutter—space appears higher quality than a crowded area. Two to three CI colors are usually sufficient.
Do you offer exhibition stand construction in Hamburg?
Yes. ayble is your partner for modular exhibition stands in Hamburg and the surrounding area—with personal consultation, planning and, if desired, transport as well as setup and dismantling. Thanks to compact, easily transportable systems, we support you not only in Hamburg, but across Northern Germany and nationwide. You can rent or buy the stands—depending on how often you exhibit.
What is included in the rental price of an exhibition stand?
When renting, you receive a complete exhibition stand for the duration of the trade fair only – without upfront investment and without storage, maintenance, or transport costs. Typically included are the stand, individual graphics, furniture, and lighting, optionally including setup and dismantling. At Ayble, the paid rental fee is proportionally credited towards a later purchase.
